Events and Festivals Sponsorship Fund

2024 Council Sponsored Events

Did you know that we provide funding to support over 15 community events a year? Mark your diaries and check out these great events throughout the year.

We are putting our support behind a diverse mix of events for our community this year. The Events and Festivals Sponsorship Fund provides $125,000 of funding to support our community to run events.

With so many events to see, there are events to be discovered in our reserves, beaches and community facilities from the annual tradition of Christmas carols, the St Eufemia Calabrian Festival and the Bulgarian Festival through to events that get you running, walking and swimming!

Purpose

Our events and festivals sponsorship fund provides funding to support the delivery of events for our community. Funding available to assist with marketing, infrastructure and entertainment costs to deliver events in our reserves, squares and community facilities.

Apply Now - Applications Currently Closed

Applications are invited from:

  • Not for profit groups, community groups or voluntary organisation, legally constituted as an incorporated association in accordance with the Associations Incorporations Act 1987.
  • Businesses including sole traders.
  • Individuals or unincorporated groups.
  • Statewide events, where the request for Council’s funding facilitates a component of the event to be held within the City of Charles Sturt

The following applicants are ineligible to apply:

  • Registered political parties as identified on the Australian Electoral Commission webpage
  • City of Charles Sturt employees and Elected Members.

To be considered for funding you must meet the following:

  • Hold an ABN or can complete an ATO Statement by a Supplier form.
  • Do not have any outstanding debts owing to the City of Charles Sturt where no repayment arrangement has been agreed to.
  • Do not have any outstanding grant obligations including acquittals.
  • Are not currently in legal conflict with the City of Charles Sturt.
  • Have not already received funding from the City of Charles Sturt for the same event within the same financial year.

There are two event categories – community events and festivals and strategic events and festivals.

Community events and festivals

Apply as a community event or festival if your event:

  • Is a creative, cultural, food or sporting event
  • Expected to attract over 250 people
  • Is held within the City of Charles Sturt
  • Does not exclude or have the potential to offend part of the Charles Sturt community.
  • Is affordable to attend.
  • Can provide recognition of Council’s sponsorship contribution and support across event marketing material and promotion.
  • Is covered by public liability insurance to the value of $20 million.
  • Has a tentative booking for use of a reserve before submitting your application (If applicable).
  • Is not just for members of an organisation.
  • Includes opportunities for community participation.
  • Involves local businesses or suppliers.

Strategic Tourism events and festivals

Apply under the strategic tourism events and festivals category if your event meets all the above criteria plus any of the following criteria:

  • Has the ability to develop new audiences and increase visitation to the City of Charles Sturt and can measure this data.
  • Is of state or national significance AND can deliver economic, physical or social benefits to the City of Charles Sturt.
  • Increases opportunities for collaborations and knowledge sharing between local and visiting creatives, sporting groups or industry professionals and audience members. I.e., intrastate and interstate artist performances, sporting matches and workshops.

The Sponsorship is seeking to support events and festivals that contribute to one or more of the following outcomes:

  • Enhances and showcases under-utilised public spaces.
  • New creative programming
  • Supports local performers and businesses
  • Opportunities for our community to experience diverse artforms and engage in hands experiences

A total funding pool of $125,000 is available. The following amounts are available:

  • Up to $7,500 for events up to 3500 attendees.
  • Up to $15,000 for events over 3500 attendees.

On average sponsored events receive $5,000.

Woodville Town Hall events are eligible for hall hire and AV costs only.

Funding can be used for:

  • Marketing costs
  • Infrastructure costs
  • Audiovisual costs
  • Reserve and venue hire costs
  • Performance fees

Woodville Town Hall events are eligible for hall hire and AV costs only.

Funding cannot be used for:

  • Catering
  • Salaried event staff
  • Retrospective costs
  • Equipment purchases (consideration may be given to some purchases that reduce the ongoing costs of annual events such as marquees)
  • Prizes and certificates
  • Gifts
  • Decorations

Applications are assessed by a panel against the following criteria and funding recommendations are presented to Council for approval:

  • Answer yes to all program eligibility questions.
  • Events must address all questions in the application form relating to economic, social, cultural, environment, leadership and sponsorship benefits.
  • Budget items eligible for funding under this program (outlined under what can the funding be used for).
  • Project viability (is it achievable within the timeframe and budget).

The full criteria is available in the Events and Festivals Sponsorship Guidelines and applicants are strongly encouraged to read and address all criteria in their application.

There are 3 funding rounds per year. All funding rounds are subject to the availability of funding.

Payment will be made directly to the applicant after receipt of a signed funding agreement and tax invoice.

The applicant agrees to acquit the funds within one month of the event, as per the funding agreement.

Event organisers are required to:

  • List your event on Council’s What’s On calendar - Submit an event
  • Acknowledge the City of Charles Sturt’s support by including the City of Charles Sturt logo and acknowledgement of sponsorship in all printed and digital promotional materials
  • On social media utilise #cityofcharlessturt
  • Provide a funding acquittal - Financial Acquittal
  • Provide an event evaluation - Events and Festival Evaluation

We've helped bring a variety of events and festivals to life in our City

View the image gallery below to see a sample of some of the vibrant events and festivals we've helped support in previous years, including the Rangoli Display by the Telugu Association of South Australia, the Rotary Club of West Lakes Christmas Fun For Kids and the Siragugal Tamil Community Celebration which had more than 300 people participating in amazing programs and delicious food.
